COVID Deployment Information

To support those areas who are in need of workforce assistance and those employees who are able to work in an alternative capacity, a Covid Deployment Hub has been created within the Workforce Advisory Service to help our Trust at this challenging time.

The Covid Deployment Hub will hold information from departments and services across the Trust where assistance is needed due to reduced staffing levels as a result of the current pandemic. The hub will also collate the information in relation to those employees who, following the completion of a risk assessment, are able to remain in work at the present time but require adjustments to their role in the form of being deployed temporarily to a different area. In addition to this, the hub will support the deployment of employees who work within departments where activity has reduced.

The Covid Deployment Hub will be open as of Monday 30th March 2020 from 9am – 5pm Monday to Friday and from 8am – 4pm on Saturday, Sunday and Bank Holidays. The team can be contacted via e-mail bfwh.coviddeploymenthub@nhs.net or via 01253 956869.

Any requests for workforce support will be required daily by no later than 2pm.

 

Workforce Support

If you require any workforce support due to reduced staffing levels as a result of the current situation please the submit the following information via e-mail to the Covid Deployment Hub:

  • Role required
  • Band
  • Department
  • Department Manager’s name and contact details
  • Number of hours required
  • Working pattern
  • Skills required
  • How long the assistance is required for

Once this information has been received the team will look into the request and make contact with you.

 

Temporary Deployment following Risk Assessment

For those employees where a risk assessment has been undertaken and it is has been deemed that they can remain in work with adjustments in the form of an alternative role. The Covid Deployment Hub will look at any suitable placements and support the temporary deployment process. In order to maximise the workforce and ensure that the right skills are being provided to the departments who require assistance, the Covid Deployment Hub will require the following information:

  • Copy of the completed risk assessment
  • Employee name
  • Band
  • Current role
  • Line Manager’s name and contact details
  • Skill set
  • Working pattern and/or availability
  • Any adjustments to be considered

Once this information has been received this will be reviewed by the team and potential suitable options will be explored.  I would ask you to complete the attached Spreadsheet relevant for your staffing areas (RA deployment).

 

Departments or Services with reduced activity

At this time, there may be departments and services across the Trust where their usual activity has been scaled back and as a result of this, employees may be able to support other areas of the Trust where there is increased demand at present.

The decision may have already been made for employees to work from home. The Covid Deployment Hub will review the associated risk assessment for these employees to determine whether or not this arrangement can continue or their skills could be utilised to support other areas with increased demand across the Trust.

The Deployment Hub will be able to support the facilitation of this as it will hold the information around those areas that require assistance.

In order to support this process, the Covid Deployment Hub will need the following information:

  • Confirmation that the employee is aware of the reason for temporary deployment
  • A copy of any associated completed risk assessments in relation to working from home
  • Employee name
  • Band
  • Current role
  • Line Manager’s name and contact details
  • Skill set
  • Working pattern and/or availability
  • Any adjustments to be considered

Once this information has been received this will be reviewed by the team and potential suitable options will be explored.  I would ask you to complete the attached Spreadsheet relevant for your staffing areas (Reduced Demand - WFH).
